Automatically Creating Secondary Insurance Claims



The process of creating an insurance claim is pretty straightforward in Dentrix. When you receive an insurance check and enter payments, if a patient has secondary insurance, a pop-up message asks you if you want to create a secondary claim. It can be easy to dismiss the pop-up thinking that you'll come back and create the secondary claim later, but then forget to do so. Why not automate the process of creating secondary insurance claims?

How To
  1. From the Ledger, click File > Insurance Payment Setup.


  2. In the Additional Options group box, check the Auto-Create Secondary Claim with Primary Payment option to enable Dentrix to automatically create a secondary claim (for patients with secondary insurance set up in the Family File).
  3. Check the Auto-receive Secondary Claim if No Pending Ins Estimate option to enable Dentrix to automatically post a zero payment and close out the secondary claim if the insurance estimate is $0.00.
  4. Click OK.

Scheduling Finance Charges to Post Automatically

It happened again. The sticky note on the side of your monitor reminding you to post finance charges to overdue accounts on the 15th of the month has failed you. Well, prepare to crumple up that sticky note. The Dentrix G6.6 Reports and Tasks Scheduler lets you schedule reports and tasks to run on a regular basis, so you can let Dentrix remember to post finance charges mid-month!

Follow these steps to schedule reports and tasks to run automatically.

How To

  1. In the Ledger, click Task Scheduler (Month End).
  2. Scroll to the bottom of the Scheduled Tasks pane, and in the New Queue section, click Create New Queue.
  3. Enter a Queue Name, and set the Recurrence intervals and click OK to create the queue.
  4. Click and drag a task or report from the Available Tasks pane to the Add Task area of the new queue. A new window will open where you can customize the settings for specific task/report. Apply the settings and/or filters for the task and click OK.
  5. Add other tasks or reports to the queue as needed and then click Close to return to the Ledger.
Additional Tips
  • By default, there are some tasks already assigned to Daily, Monthly, and Yearly queues. To avoid performing tasks repeatedly by mistake, when making a new queue, make sure the task is only active in the queue you want. 
  • Once all tasks and reports have been added and customized to a queue, choose a processing time for the queue to run, by entering a time in the Begin processing at field (at the bottom of the dialog box). Also, make sure that the checkbox next to the field is checked—the queue will not run unless this box is checked.

Individualizing Continuing Care Intervals for Patients

Dentrix allows you to adjust the intervals between continuing care visits on a patient-by-patient basis. For example, your default prophy schedule is six months between visits, but you can customize that interval to be every four months for a patient with poor hygiene who you'd like to see more frequently. 

When you adjust continuing care intervals for individual patients, their due dates will reflect these new intervals, but the rest of your patients will still be assigned the default intervals.


How To

  1. With a patient selected in the Chart, click the Continuing Care button.
  2. Double-click the continuing care type you want to customize.
  3. Click the search button next to the Due Date field, change the interval to reflect the amount of time that should elapse between the patient's continuing care visits, and click OK.


  4. Click OK to return to the patient's continuing care list, and close it to return to the Chart.
Additional Tips
  • If you want the continuing care interval to extend an extra day to prevent insurance billing problems, in the Set Interval dialog box, check the +1 Day option.
  • When a continuing care interval is changed, the patient's due date is automatically updated to reflect the new interval period. You can also manually reset the due date by typing the date in the New Due Date field after you set the interval.
